The Challenge
Replacing paper folders and scattered spreadsheets with a single HR system reclaims days lost to administration and lets teams focus on employee development.
Before implementation, data on employees, leave, and working time was scattered across spreadsheets and paper documents. The HR department wasted time manually tallying attendance (time & attendance) and coordinating recruitment and onboarding via email, causing delays and information chaos.
Key challenges:
- Data on employees, leave, and working time was scattered across spreadsheets and paper documents.
- The HR department wasted time manually tallying attendance (time & attendance) and coordinating recruitment and onboarding via email, causing delays and information chaos.
The Solution Process
A centralized HR module was implemented in the ProcessApp application, replacing scattered files.
The system covered digital employee files, electronic time and attendance tracking, leave request workflows, as well as tools for recruitment, onboarding, and building a competency matrix.
The implementation team analyzed existing HR processes and mapped the employee lifecycle within the company.
The appropriate views were then configured in ProcessApp and existing data was migrated into it, concluding the process with training for the HR department.
Actions Taken
System Entry
The HR team now works from a single dashboard where all employee knowledge is in one secure place.
Recruitment and Onboarding
Recruitment and onboarding are no longer inbox chaos. Every new candidate has a clear plan.
Digital Employee File
Today, checking employment history is a matter of a few clicks. The director sees a digital file with a summary of key indicators, while career history, promotions, and position changes are all in one table. The HR team quickly responds to board questions with hard data at their fingertips.
Time & Attendance Automation
Manually tallying attendance and overtime blocked the HR department for several days each month, and errors cost the company money. Now the system aggregates data automatically and displays a ready-made summary of working time. You can see who is present and who is working remotely, and the attendance analysis module catches discrepancies. The director assesses the situation of the entire workforce at a glance, meaning payroll is always on time and the company has full control over labor costs — without paperwork.
Competency Matrix
When management asks about skill gaps, the director opens the system and sees a ready-made competency matrix. A clear list transforms into a table with team assessments, enabling quick identification of gaps and employees ready for promotion. Data is linked to time tracking records, and a single screen shows both an entry list and an analytical dashboard displaying project workloads. Previously, combining skills with working time required complex spreadsheets, leading to errors. Now HR monitors performance and plans cover without stress. Everything works in real time. Decisions on raises and new hires are based on reliable facts, giving management peace of mind and allowing the HR department to become a strategic business partner.
Development Instead of Paperwork
Leave request workflows were once a bottleneck for the entire organization. Paper forms got lost on managers' desks, causing unnecessary conflicts. Now absence management is a fully digital, seamless process. The director sees a clear calendar that immediately shows who is on leave and when. But the real revolution lies in what the company does with the time saved. The HR department stopped drowning in day-to-day tasks and focused on people. The system now holds clear goals for each employee and individual development plans. Instead of firefighting, HR proactively manages career paths and plans dedicated training. Managers have constant access to their teams' progress, building tremendous engagement and motivation throughout the company. The frustration of missing feedback has disappeared. The company gained a single, cohesive environment in which leave, appraisals, and development intertwine. This is no longer just record-keeping. It is a powerful tool for building a strong, loyal, and competent team ready for any challenge.
